How to track fixed-fee revisions in monday.com
Fixed-fee work has a different control problem from a retainer. The invoice amount may be fixed while the delivery keeps expanding through revisions, extra deliverables, or support that was never included.
Define the included scope
Start with the confirmed agreement: deliverables, included revision rounds, exclusions, and the rule for additional work. “Two revisions” is not enough if the team cannot identify what counts as a round. Store the clause or source reference that supports the interpretation.
Map delivery to the scope
Use item names, status values, dates, and request references to connect board activity to a deliverable. A generic project total is weak evidence; “Homepage — revision 3” is much easier to review. Let the system propose a match, but require a human to confirm it.

If the agreement sets an additional revision price of 500 USD, the confirmed commercial exposure may be 500 USD. Without a price, the correct result is a non-priced scope anomaly, not a reassuring zero and not an invented amount.
Decide before pricing
- Confirm the agreement version and whether the third round is actually outside scope.
- Check whether a goodwill exception or trade-off was agreed.
- Require an authorized decision before generating a Change Order.
- Keep the finding UNVERIFIED until the contract and evidence are confirmed.
